Key Responsibilities:
Administrative Responsibilities:
Office Management:
* Manage office supplies inventory and place orders as needed.
* Ensure maintenance and upkeep of office facilities and equipment.
* Coordinate with vendors for facility management and other administrative services.
* Oversee and support all administrative duties in the office.
* Liaise with facility management vendors, including cleaning, catering, and security services.
* Manage the office budget and track office expenditures.
Travel & Meeting Coordination:
* Organize travel and accommodation arrangements for staff and visitors.
* Schedule meetings, prepare agendas, and maintain minutes of meetings.
Record Keeping:
* Maintain organized and up-to-date records for all administrative documents.
* Handle correspondence, filing (physical and digital), and other clerical tasks.
* Manage petty cash and related expenses.
HR & Employee Support:
* Support HR in onboarding new hires with administrative formalities.
* Maintain leave and attendance records in coordination with HR.
Compliance & Reporting:
* Manage the interaction with the local advisor in charge of accounting and payroll.
* Assist in ensuring compliance with local administrative regulations and company policies.
* Provide support in preparing documentation for audits and inspections.
Qualifications and Skills:
* Min of 4 years of Proven experience as an Office Manager, Administrative Officer, or similar role
* Strong organizational and multitasking abilities.
* Good communication and interpersonal skills.
* Ability to maintain confidentiality and act with integrity.
* Ability to multitask and prioritize effectively.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and office management tools.
