Role Overview
The Senior Executive Assistant acts as a trusted business partner to the VP/SVP, providing high-level administrative, operational, and strategic support. This role requires strong organizational skills, business acumen, and the ability to operate in a fast-paced, international environment while handling highly confidential matters.
Key Responsibilities
Executive Calendar & Priority Management
* Manage a complex and dynamic calendar across multiple time zones
* Prioritize meetings and requests based on business impact
* Anticipate needs and proactively manage deadlines and deliverables
International Coordination
* Organize international travel arrangements (flights, visas, logistics)
* Act as a key point of contact for internal and external senior stakeholders
* Coordinate interactions with executive leadership and global teams
Executive Meeting Preparation
* Prepare presentations, reports, and briefing materials (PowerPoint, Excel)
* Attend key meetings when required and provide minutes and follow-ups
* Track action items and ensure timely execution
Confidential Information Management
* Handle sensitive and confidential information with discretion
* Manage internal and external communications on behalf of the VP/SVP
Operational & Administrative Excellence
* Monitor budgets, expenses, and administrative processes
* Improve workflows and implement efficiency-driven solutions
* Support ad hoc projects and cross-functional initiatives
Coordination & Influence
* Facilitate communication across departments and leadership teams
* Contribute to a collaborative and effective working environment
Profile Requirements
Education
* Bachelor’s or Master’s degree in Business Administration, Management, or related field
Experience
* 6+ years of experience in executive support roles
* Proven track record supporting senior executives (VP, SVP, C-level)
* Experience in multinational or fast-paced environments preferred
Key Skills
* Strong organizational and prioritization skills
* Excellent written and verbal communication
* Ability to interact with senior stakeholders with professionalism
* Advanced proficiency in MS Office (Outlook, PowerPoint, Excel, Teams)
* Strong problem-solving and proactive mindset
Languages
* Fluency in English and French (mandatory)
