Purpose of the Role
We are looking for a seasoned and detail-oriented professional to lead travel coordination at a strategic level. This role is pivotal in overseeing the coordination, policy implementation and optimization of corporate travel programs, ensuring cost-effectiveness, compliance, and a seamless experience for travelers. The ideal candidate will drive improvements through data-informed decisions and efficient processes, contributing to overall operational excellence and employee satisfaction.
Principal Responsibilities
* Travel Coordination & Oversight
* Supervise and oversee the travel booking process carried out by Executive/Team Assistants and Travel Arranngers.
* Ensure bookings are aligned with internal policies, entitlements, and budget constraints.
* Monitor adherence to travel workflows, timelines, and quality standards.
* Act as the central point of coordination for complex or high-level travel issues
* Liaison with Travel Agencies and Vendors
* Serve as the primary contact for travel agencies and external travel providers (Hotels, Cars Suppliers, Airline companies, etc.)
* Ensure the travel agency delivers timely, cost efficient, and policy-compliant services.
* Provide feedback and escalate issues from Executive/Team Assistants to the agency.
* Oversee invoicing, service level agreements, and resolution of any disputes.
* Travel Policy Implementation
* Ensure understanding and consistent application of travel guidelines across departments.
* Update the travel policy and guidelines as needed and provide clarifications to Executive/Team Assistants and staff.
* Organize training or briefing sessions on travel procedures and tools.
* Procurement & Vendor Management
* Lead the sourcing and contracting process for travel agencies, hotels, and transport providers.
* Prepare and manage RFQs/RFPs for travel services, in collaboration with Procurement.
* Monitor service providers’ performance using KPIs and satisfaction feedback.
* Propose vendor optimization strategies to improve quality and cost-efficiency.
* Reporting & Process Optimization
* Collect data on travel frequency, destinations, costs, and patterns.
* Generate regular reports to inform management and support budgeting.
* Recommend improvements in the travel process, including tools, automation, and digital workflows.
Candidate Profile
* Bachelor’s degree in business administration, Hospitality, Travel Management or related field.
* 10–12 years’ experience in corporate travel coordination and management.
* Prior experience managing travel agencies or supervising booking processes is essential.
* Strong organizational and coordination skills.
* Excellent communication and stakeholder management abilities.
* High attention to detail and process compliance.
* Good problem-solving and negotiation skills with vendors.
* Proficiency in Microsoft Office and travel platforms.
* Fluency in English and French; other languages are an advantage.
