Your future role
Take on a new challenge and apply your organizational and administrative expertise in a dynamic and fast-paced environment. You’ll work alongside dedicated and collaborative teammates. You'll play a key role in ensuring seamless coordination and efficiency at the executive level. Day-to-day, you’ll work closely with teams across the business (such as Top Management, HR, and external vendors), manage complex schedules and travel arrangements, and much more.You’ll specifically take care of handling correspondence, maintaining professional agendas, and producing high-quality reports and presentations, but also support logistics for executive seminars and manage purchase orders and invoices.
We’ll look to you for:
* Acting as the primary point of contact between Top Management and internal/external stakeholders
* Receiving calls, taking messages, and routing correspondence appropriately
* Handling requests and queries with professionalism and discretion Maintaining professional and personal agendas, arranging meetings and appointments, and providing reminders
* Producing reports, presentations, and briefs
* Developing and maintaining an efficient documentation and filing system
* Managing travel arrangements, including end-to-end coordination with travel agencies, VISA processes, and expense claims
* Overseeing invoice management, supplier creation, purchase orders, and follow-ups with suppliers and the accounting department
* Supporting logistics for Executive & HR seminars
* Maintaining records related to grievances, performance reviews, and disciplinary actions
* Managing data entry, document creation, and distribution
* Serving as a point of contact with benefit vendors and administrators
* Handling all purchase requests and managing external vendor queries
All About You

* Associate degree in an HR-related field (Bachelor's preferred)
* 5+ years of experience as an executive administrative assistant, senior executive assistant, or in a similar secretarial position
* Proficiency in MS Office, with expertise in Word, PowerPoint, and Excel
* Proven experience in verbal and written business correspondence in both French and English
* Full comprehension of office management systems and procedures
* Excellent organizational and planning capabilities
* Discretion and confidentiality
* Familiarity with communication tools like Microsoft Teams
* Strong interpersonal skills.
