Overview:
Function: HR Systems
* Maintains accurate team member data in the HR database based on official documents (government records, forms), status change forms, and other official sources of team member information.
* Coordinates with different departments/accounts in ensuring that team member data is kept updated at all times through regular reports, notifications, and as needed, calibration.
* Maintains employee records and ensures that information is consistent with the HR database and other HR tools (pre-employment requirements, status change forms, performance appraisal forms, etc).
* Prepares reports using team member information from HR database as needed.
* Attends to employment verification and data requests from both internal and external parties (other employers, banks, etc).
Function: Payroll
* (Active/Resigned) based on the prescribed guidelines.
* Assists Payroll Officer and coordinates with HR Business Partners for the list of final pay. Processes
* Final pay computations and request for cheque payments.
* Closely coordinates with Finance to facilitate release of last pay within specified guidelines and monitors the process via the Final Pay tracker.
* Handles validation and audit of time entries vs. payroll templates.
* Assists in validation of time and labor transactions, exceptions, and issues.
Function: Benefits (Government-mandated)
* Ensures that all government reports are submitted on or before the specified due dates (i.e. CNSS).
* nsures that the company is updated and is in full compliance with government-mandated remittances.
* Makes sure that all government contributions payments are posted under the name of each member for the utilization of each benefit and effecting the corresponding deductions on payroll.
* Processes requests for Certificate of Contribution (Government contributions) for team members.
* Ensures the accurate encoding of employee data in official documents.
* Cross-checks employee data with existing database/records.
Function: Benefits (Company-granted)
* Prepares and submits list of enrollment, upgrade and deletion of team member every payroll cut off to HMO.
* Assists in the consolidation of new dependent during policy renewal. Monitors release and receipt of health benefits
* Coordinates with the broker for health care & Insurance concerns of team members and ensures immediate feedback.
Function: Travel
* Handles all visa processing requirements and documentation for all non-executive team members.
* Coordinates US visa application for team members who applied via Priority Interview Program (PIP).
* Handles Alient Employment Permits and Working Visa of expatriates.
* Prepares required documentation for submission and closely coordinates with immigration lawyer in ensuring timely release of permit and visa.
* Prepares requests for payment for all travel-related expenses.
Function: HR Helpdesk
* Provides quality customer service to all team members through voice, email, chat, and face-to-face interactions by addressing and/ or facilitating concerns, queries, issues, complaints and / or requests.
* Initiates call backs and return calls as deemed necessary.
* Processes and analyzes data and prepares useful and accurate reports.
* Escalates interactions to the correct party/ies, if issues, concerns, or queries are beyond one’s jurisdiction and/or scope of knowledge.
* Utilizes HR Ticketing System for logging of all issues/concerns.
* Monitors one’s own performance against established metrics, and ensures its attainment. Solicits
* feedback from fellow HR Helpdesk and supporting manager on how to improve current performance.
