The Operations Lead ensures the seamless daily functioning of hub. Responsible for all operational logistics, infrastructure, vendor coordination, and facility experience, this role enables programs, startups, and partners to operate efficiently within a well-maintained and responsive space. The Operations Lead ensures that the incubator’s physical infrastructure matches the quality of its innovation programs.
Detailed Responsibilities
• Facility & Infrastructure Management Oversee the physical premises of the hub: internet, utilities, IT, layout, security, and access. Guarantee a high standard of cleanliness, safety, and service uptime. Act quickly to resolve issues and ensure the space remains professional, functional, and welcoming.
• Vendor Coordination & Procurement Manage relationships with service providers (cleaning, security, tech, repairs). Coordinate procurement needs (with the Purchasing Business Partner) for supplies and equipment, ensuring compliance .
• Operational Policy & Compliance Enforce operational guidelines: safety procedures, equipment usage, emergency readiness. Lead periodic safety drills and maintain documentation (e.g., maintenance logs, insurance records). Inform startups and guests of relevant updates.
• Logistics for Programs & Events Support all on-site logistics for incubator programs and public events: room setup, IT/AV testing, catering, signage, and materials. Ensure readiness for every workshop, hackathon, or guest visit—working closely with program and community teams.
• Member Support & Issue Resolution Serve as the go-to contact for operational requests from startups, mentors, or visitors. Resolve issues proactively and track satisfaction. Support onboarding of new residents, manage mail and deliveries, and promote a helpful on-site presence.
• Continuous Improvement Monitor space utilization and propose improvements (e.g., booking system updates, signage upgrades, furniture redesign). Solicit member feedback and propose enhancements, like new amenities or operating hours to boost engagement and productivity.
Ideal Candidate Profile :
• Experience
o 5–7 years in facilities management, innovation hubs, co-working spaces, or operational/logistics roles in complex environments.
o Experience managing tech-enabled workspaces or fast-paced environments such as startup campuses, hotels, or event venues.
o Exposure to ecosystem operations or support roles in accelerators, universities, or creative spaces is a strong advantage.
• Skills
• Strong organizational and coordination skills: able to track multiple operations and vendors concurrently.
• Basic technical know-how (networking, printers, projectors, HVAC) to troubleshoot or supervise maintenance.
