Job Summary


* Ensure logistics, follow-up, and cost optimization related to all travel arrangements.
* Handle all reception-related tasks, ensuring smooth internal communication within Swissport Morocco, in accordance with current standards.

Your activities

Reception Management


* Welcome visitors, provide information, identify their needs, and direct them to the appropriate person or department.
* Handle phone calls: make, receive, and manage calls, forward them to the appropriate contacts, or take messages.
* Monitor and update the Ground Handling Information (GHI).
* Update and maintain the telephone directory (suppliers, clients, partners, authorities) in Outlook.

Mail & Document Handling


* Receive and distribute all incoming/outgoing mail.
* Record and track all incoming & outgoing correspondence.
* Follow up on dispatches to stations and confirm receipt with administrative agents.
* Coordinate with courier service providers (SDTM, DHL, Shipex, etc.) and address issues or complaints.

Travel Management


* Organize staff travel (flights, train, hotel bookings, restaurants, etc.) for SPM employees.
* Manage travel authorizations and expense reports, track them in Excel, and maintain proper filing.
* Handle visa applications for SPM employees.
* Coordinate with the travel agency for bookings and conduct preliminary invoice checks for manager approval.
* Act as liaison with the Finance Department (travel orders, expense reports, supporting documents, etc.).
* Provide logistical support for international visitors (hotel reservations, airport pick-up, etc.).
* Contribute to the travel budget preparation.
* Ensure booking of meeting and training rooms.
* Support the organization of internal and external meetings.
* Prepare presentations: formatting, printing, binding.

Cross-functional Tasks


* articipate in managing damage claims (GSE and service vehicles).
* Monitor HQ premises maintenance.
* Replenish kitchen and office cleaning supplies (general services) with Purchasing and Facilities Manager’s approval.
* Provide administrative support to all departments.

Your profile


* Minimum Bac+2 (Associate degree) in Administrative Management or Assistantship.
* Fluency in French and English.
* Proficient in computer tools (Microsoft Office).
* Good interpersonal skills.
