We are a fast-growing company operating in the Meta Ads solutions sector. Our team is distributed between France and Dubai. We manage several hundred active clients with monthly subscriptions and multi-currency financial flows (USD, EUR, Stripe, Wire, Crypto).


We are looking for a freelance Finance & Admin Operations Manager to structure, secure, and optimize the company’s daily financial and administrative management.


Core Responsibilities

1. Payment & Subscription Monitoring

* Manage monthly renewal tracking for all subscribed clients
* Identify daily payments received, pending, and overdue
* Send daily reports to teams regarding payment status:

  • Clients expected today/tomorrow

  • Overdue clients

  • Rejected payments (Stripe) or unconfirmed payments (Wire/Crypto)

* Monitor multi-channel payments: Stripe, bank wire transfers, Crypto
* Verify that funds are received in the correct accounts and wallets
* Manage subscription suspensions for clients with unpaid balances


2. Invoicing

* Create client invoices in Zoho Books based on information provided by front teams
* Verify information consistency before issuing invoices (amount, client, product, currency)
* Monitor invoice statuses (draft, sent, paid)
* Coordinate with the accounting firm for the transmission of required documents


3. Refund Management

* Process refund requests approved by management
* Ensure refunds are properly completed and tracked
* Update tools accordingly (Zoho Books, Pipedrive)


4. Expense Tracking

* Record and categorize monthly company expenses:

  • Salaries

  • Contractors

  • Tools/software

  • Banking fees

  • Operational expenses

* Maintain the expense database updated in Notion
* Prepare the required information for the monthly closing


5. Commission & Referral Tracking

* Ensure sales commissions are correctly calculated each month
* Verify referral partner payments have been completed
* Raise alerts in case of anomalies or missing payments


6. Administrative & Contract Management

* Have a good understanding of client contracts to answer basic questions
* Work closely with front/back teams regarding the client administrative lifecycle
* Proactively suggest process improvements:

  • Identify friction points and unnecessary manual steps

  • Propose optimizations without necessarily implementing them technically


Profile

* Strong experience in financial and administrative operations management (management accounting, cash flow tracking)
* Comfortable working with multi-currency environments and digital payments (Stripe, Wire, Crypto)
* Strong attention to detail and autonomy — ability to manage daily tasks independently
* Comfortable with digital tools — fast learner with new software
* Fluent in French and English, both written and spoken
* Strong organizational skills and ability to manage multiple topics simultaneously
* Experience with Pipedrive, Notion, or Zoho Books
* Basic understanding of contract management
* Ability to identify inefficiencies and suggest improvements
* Experience in startups or high-growth companies
* Comfortable working in international and remote environments

* A technical/developer profile — automations are handled separately
* Someone who waits for instructions for every action — autonomy is essential
