Charly Agency is a globally operating digital agency. The Founder and CEO, Santiago Luna, is based in Barcelona, Spain but operating with a team spread mostly in Europe but also Latin America. We specialize in top-quality design, technology, and marketing services for clients primarily in the United States. We're a team of 15 people with half full time and half part time.
Our core capabilities include web design, UX/UI, brand strategy, ecommerce and CRO, development, SEO, and content writing. Beyond the work itself, our strength comes from how we think and collaborate.
Role Description
We’re looking for an A-player Operations Manager who can learn fast, think ahead, and keep the agency running smoothly with clarity and confidence. You will be central to the company and its success. This role is great for someone with 3-5 years of experience and plenty of career ambition.
An A-player at Charly is proactive, handles complexity well, takes ownership of outcomes, and stays open to feedback with the intention of becoming an exceptional professional.
This role is designed to become the CEO’s right hand, working closely on recruiting, operations, contracts, finance, and internal marketing. We want someone who sees this position as a long-term opportunity to grow with the company and gradually take on more strategic responsibility as the agency expands.
You’ll manage essential operational workflows, support recruiting, maintain high-quality standards in proposals and contracts, and ensure smooth coordination across the company. This position requires strong communication skills, sharp attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Talent & Recruiting
* Source and shortlist candidates across design, content writing, development, and project management.
* Review portfolios, ratings, writing samples, and past work to identify qualified candidates.
* Conduct structured interviews to evaluate English proficiency, communication style, honesty, and professionalism.
* Maintain an active pipeline of contractors and freelancers for upcoming projects.
* Prepare shortlists and provide hiring recommendations based on performance and fit.
Sales & Contracts
* Draft polished sales proposals and prepare professional outreach and follow-up emails.
* Write and refine client communications across proposals and updates.
* Create, revise, and cross-check Statements of Work and contracts with strong attention to detail.
* Ensure all documents are accurate, consistent, and aligned with internal standards.
* Coordinate contract execution and signature processes.
Invoicing & Administration
* Generate and send client invoices with accuracy.
* Track invoice status and follow up on pending payments.
* Maintain organized financial records related to billing and expenses.
* Prepare and submit time reports to clients.
* Cross-reference time reports and invoices to ensure precise month-end billing.
Payroll & Contractor Management
* Calculate payroll for full-time employees and contractors.
* Share payment confirmations and details with the team.
* Keep accurate records of payouts, hours, and rate changes.
Marketing & Content
* Support the creation of marketing collateral, internal decks, and website pages (case studies, landing pages, etc.).
* Write and refine case studies, blog articles, and content that showcases agency work.
* Draft and publish LinkedIn posts for agency updates, insights, and launches.
* Contribute to updates of the agency website and portfolio materials.
Research, Development & Continuous Improvement
• Take on varied research tasks that help the agency improve and stay ahead.
• Study how leading agencies operate and communicate.
• Create internal templates for sales emails, follow-ups, and recurring client scenarios.
• Use AI to brainstorm solutions, compare options, and support operational improvements.
• Test new processes, document what works, and suggest clear refinements.

Competitive Compensation Package:
* Salary: $900–$1,750 per month depending on experience, including a base and performance bonuses.
* Communication Support: $50 monthly stipend for fast Wifi.
* PTO: 3 weeks of paid time off per year.
