We are seeking an exceptionally organized, proactive, and discreet Senior Executive Assistant to provide high-level, confidential administrative and strategic support within our organization. This role is an integral partner to the executive, requiring superior judgment, impeccable communication skills, and the ability to operate independently in a fast-paced, complex, and globally-matrixed environment. The ideal candidate will have 8+ years of experience supporting C-Level or equivalent executives in a large, multinational corporation.


Key Responsibilities:


1. Executive and Strategic Support

Prioritization: Serve as the primary liaison and strategic partner to the executive, managing all internal and external access points. Proactively analyze, prioritize, and manage the executive’s schedule, communications, and commitments to ensure alignment with critical business objectives and efficient use of the executive's time.

Meeting Management: Plan, coordinate, and execute all logistical and preparatory aspects for executive meetings, board meetings, and high-stakes client sessions, often across multiple international time zones.

Correspondence and Communication: Draft, edit, and proofread highly confidential and sensitive communications, presentations, and reports for internal and external audiences, ensuring professional and precise delivery.

Board/Steering Committee Prep: Prepare comprehensive briefing materials, agendas, and pre-reads for executive and board meetings, often compiling input from various departmental heads.


2. Project and Operational Management

Travel and Logistics: Manage complex, multi-leg international travel arrangements (flights, visas, accommodation, ground transportation), accounting for real-time changes and high-security protocols.

Expense and Budget Management: Efficiently manage and reconcile executive expenses and corporate credit card statements, ensuring adherence to global finance policies. May assist with tracking departmental budgets.

Office Administration: Oversee administrative operational functions for the executive office, ensuring seamless daily flow and effective use of resources.

Ad-Hoc Projects: Handle special projects and research assignments for the executive, requiring critical thinking, data compilation, and the ability to produce high-quality, actionable summaries.


3. Stakeholder and Relationship Management

Internal Liaison: Build and maintain strong, collaborative relationships with senior leaders, their EAs, and internal departments across all global regions.

External Representation: Interact professionally and with high-level decorum with external stakeholders, high-net-worth clients, vendors, and government officials.

Confidentiality: Maintain absolute discretion and professionalism in handling all sensitive and confidential company, personal, and personnel information.


Required Qualifications

Experience: Minimum of 8+ years of progressive experience as an Executive Assistant, with at least 5 years directly supporting a C-Level (CEO, CFO, COO, etc.) or equivalent senior executive in a multinational company.

Education: Bachelor’s degree preferred; relevant certifications are a strong asset.

Technical Proficiency: Expert level proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and advanced experience with collaboration tools (e.g., SharePoint, Teams, Google Workspace) and virtual meeting platforms (e.g., Zoom, Webex).

Global Acumen: Demonstrated experience coordinating logistics and managing communications across different time zones and cultural contexts.

Proactivity & Foresight: Anticipates executive needs and potential roadblocks before they arise, taking initiative to resolve them independently.

Professionalism & Discretion: Exceptional judgment, poise, and the ability to handle highly sensitive information with complete confidentiality.

Communication: Outstanding verbal and written communication skills; ability to articulate messages clearly and concisely to senior audiences.

Organizational Mastery: Flawless attention to detail with the ability to manage multiple complex projects simultaneously under tight deadlines.

Adaptability: Proven ability to thrive in a dynamic, high-pressure, and fast-paced environment.
