seeking an Executive Assistant who brings structure, clarity, and momentum to everything they
touch.
Role Overview :
This is not your average EA position. We’re looking for a powerhouse right-hand to the CEO—
someone who can masterfully manage operations behind the scenes, bring order to complexity,
and become a true extension of leadership. If you thrive on creating systems, taking initiative,
managing details, and keeping a CEO focused and effective, this is the role for you.
There is also long-term potential for this role to evolve into a Chief of Staff position for the right
person.
Key Responsibilities :
Operational & Strategic Support :
• Manage the CEO’s inbox: read, prioritize, draft, and occasionally respond to emails on
her behalf. Ensure nothing slips through the cracks.
• Own the calendar: schedule meetings, coordinate across multiple time zones, and enter
events with clarity and context (titles, links, participants).
• Set meeting agendas and distribute them in advance; track follow-ups and action items
post-meeting.
• Take clear, AI-enhanced notes in meetings and organize information for use across the
company.
• Assist with product development projects by coordinating timelines, tracking progress,
and ensuring follow-through.
• Act as a liaison between the CEO, team members, and external vendors or consultants.Organization & Systems
• Own and maintain the company’s digital infrastructure (Dropbox, Google Drive, etc.),
ensuring files are easy to find, properly labeled, and cleanly organized.
• Implement internal systems to improve productivity and efficiency across the team.
• Support the documentation and tracking of KPIs, employee accountability, and
reporting.
Project Coordination & Follow-Through :
• Follow up consistently until tasks and projects are 100% complete—no loose ends.
• Proactively identify roadblocks, flag delays, and propose solutions.
• Help move strategic initiatives forward by communicating between departments,
vendors, and consultants.
Admin & Light Finance :
• Prepare and format polished presentations (Google Slides or PowerPoint).
• Provide light support with QuickBooks (optional but a plus).
• Assist with HR tasks such as job descriptions, resume review, and interview
coordination.

• Tech-Savvy: You’re fluent in everyday tech tools and excited about AI and automation.
You are extremely comfortable with Apple (Mac) products.
• Detail-Oriented: You don’t let typos, missed meetings, or misnamed files happen on
your watch.
• Confident Communicator: You write clearly, ask smart questions, and aren’t afraid to
speak up.
• Follow-Through Expert: You track your to-dos until they’re done—and double-check
that others did theirs.
• Strategic & Discreet: You understand the big picture and maintain the highest level of
confidentiality.
• Independent: You’re trusted to make decisions, manage your workload, and move
things forward without needing constant direction.
Requirements
• 5+ years supporting a senior executive or leadership team.
• Strong writing, communication, and problem-solving skills.
• Deep comfort with Google Workspace, task management tools (we use Todoist), and
digital file organization.
• Familiarity with QuickBooks is a plus (not required).
