We are hiring an Operations Manager to help manage our classes, tutors, student follow-up, parent communication, renewals, and internal operations.
This role is ideal for someone who is highly organized, excellent at follow-up, comfortable communicating with students and parents, and genuinely committed to creating an outstanding student experience.
Role Overview
The main priority of this role is to make sure our academic programs run smoothly and that students and parents have an excellent experience with Stairway.
You will be responsible for coordinating classes, managing tutors, tracking student progress, communicating with parents, supporting renewals, and helping us continuously improve the quality of our programs.
In addition to operations, the role includes regular parent communication, renewal follow-up, and occasional support with sales-related calls.
Main Responsibilities
1. Class Management & Student Experience
Your first responsibility will be to make sure classes are well organized and that students receive a high-quality learning experience.
Responsibilities include:
* Organizing classes, schedules, student groups, and class logistics
* Making sure the right tutors are assigned to the right groups of students
* Ensuring students receive the right class information on time
* Making sure classes start on time and run smoothly
* Following up after classes to make sure recordings, materials, and important updates are shared with students
* Tracking student attendance, engagement, questions, and progress
* Helping students receive additional support or change groups when needed
* Making sure students are preparing properly for their exams and academic goals
* Helping students register for tests on time when needed
* Building strong relationships with students and making sure their experience with Stairway is excellent
2. Tutor Management & Quality Control
You will help manage tutors and ensure that our classes maintain a high standard of quality.
Responsibilities include:
* Coordinating tutor schedules, class assignments, and communication
* Ensuring tutors are aligned on lesson plans, class objectives, and student needs
* Following up on tutor reliability, punctuality, communication, and class quality
* Evaluating tutor performance based on student experience, parent feedback, attendance, and overall class quality
* Reporting issues and helping improve tutor performance when needed
* Supporting the hiring, onboarding, and training of new tutors when needed
3. Parent Communication, Renewals & Retention
A key part of the role is making sure parents are informed, supported, and followed up with professionally.
Responsibilities include:
* Updating parents on student progress, attendance, preparation, and next steps
* Building strong relationships with parents and making sure they feel supported
* Keeping track of students whose subscriptions are ending
* Following up with parents by message or phone regarding renewals
* Helping maximize student retention and renewal rates
* Listening to parent and student feedback and sharing it with the team
* Understanding why students or families pause or discontinue their programs and sharing feedback with the team to improve retention
* Reaching out to former students or families who previously enrolled with Stairway, when relevant, to explore whether we can support them again
* Identifying opportunities to offer additional support or services to current families when appropriate
4. Application Support, Student Activities & Sales Support
This is primarily an operations role, but you may also support other student-related and commercial tasks when needed.
Responsibilities may include:
* Assisting students with parts of the university application process when needed
* Supporting the organization of student clubs, activities, and events
* Helping coordinate student onboarding and orientation
* Supporting the sales team with follow-up, communication, or administrative tasks when needed
* Keeping internal trackers and systems updated accurately
What We’re Looking For
We are looking for someone who is:
* Excellent in English and French, both written and spoken
* Highly organized, reliable, and detail-oriented
* Strong in communication, follow-up, and problem-solving
* Comfortable communicating with students, parents, tutors, and team members
* Able to manage several conversations, tasks, and priorities at the same time
* Comfortable coordinating tutors, classes, student groups, and academic programs
* Comfortable speaking with parents about student progress, renewals, and next steps
* Proactive and able to take ownership of tasks
* Motivated by education and student success
* Available during evenings and weekends
* Flexible with schedule changes between the summer and the school year
Excellent English and French communication skills are required. While communication with students, tutors, and the internal team is mainly in English, communication with parents is mainly in French.
A university degree taught entirely in English is highly preferred.
Experience in education, operations, tutoring, student services, customer success, parent communication, or sales support is a strong plus.
Work Schedule
Full-time, on-site.
Because many of our classes, student follow-ups, and parent conversations happen outside regular school and work hours, this role requires evening and weekend availability.
Regular school-year schedule: Thursday to Monday, 12:30 pm to 9:30 pm
Days off: Tuesday and Wednesday
During the summer, the schedule may temporarily shift depending on class needs. During the school year, the regular schedule is evening and weekend-based.
